Who provides the add-on
Job Document Transfer is provided and supported by The Drain Guys Ltd under the Addon Apps product name. It is independently developed and is not developed or supported by ServiceM8.
For privacy or support questions, email Gavin@thedrainguys.co.uk.
Purpose
Job Document Transfer allows an authorised ServiceM8 user to copy selected job photos and generated Job Sheet PDFs between jobs. This includes a confirmed correction when documents were uploaded against the wrong client.
ServiceM8 data used
The add-on processes the information needed to display and complete the transfer:
- Source and destination job identifiers, job numbers, status and job address.
- Client identifiers and names used to identify different-client transfers.
- The invoking staff identifier used to respect that person's ServiceM8 access.
- Attachment names, file types, upload dates, tags, metadata and selected file bytes.
- Form names and generated-document references used to identify Job Sheet PDFs.
How the data is used
Data is used to suggest or find a source job, display supported files and previews, compare the client on each job, copy only the selected files, prevent duplicate copies and record the requested transfer in ServiceM8.
Storage and retention
Job Document Transfer runs as a ServiceM8 Simple Function. The provider does not operate a separate database for OAuth tokens, attachment contents or transfer history. A short-lived ServiceM8 access token and selected file bytes are processed while the requested action runs.
The copied file, its source marker and the optional transfer summary remain inside the customer's ServiceM8 account. They remain there until removed under that customer's account settings and retention practices.
Sharing and subprocessors
The add-on sends information to ServiceM8 only to perform the action requested by the authorised user. ServiceM8 may retain platform and diagnostic records under its own service, security and retention practices. The provider does not sell ServiceM8 customer data.
Security
The add-on uses ServiceM8-provided access for each request, respects the invoking staff member's permissions, re-checks the source and destination jobs for every copied file, requires confirmation when clients differ, and limits supported file types, sizes and batch counts.
Customer responsibilities
ServiceM8 account owners are responsible for ensuring that staff use the add-on lawfully, that copied documents may be used on the destination job, and that staff access permissions are appropriate.
Requests and removal
For access, correction, deletion, objection or other privacy requests, contact the support email above. Requests concerning records retained inside ServiceM8 may also need to be handled by the relevant ServiceM8 account owner.
Removing the add-on stops future transfers but does not automatically delete files, metadata or notes previously created in ServiceM8.
